Privacy Policy

This policy covers the Eventigizer website (www.eventigizer.com) and the event mobile applications published on Google Play and the App Store under the Eventigizer developer account. Eventigizer is the controller of the personal data described below. It is organised in three parts: general provisions that apply everywhere, the website, and the event mobile apps. For any privacy question or request, including account and data deletion, contact us at info@eventigizer.com. The steps to request deletion of your data are described in the Account & Data Deletion section of this page.

We collect personal information (e.g. name, address, email address, telephone number) in accordance with the provisions of data protection statutes. Information is considered personal if it can be associated exclusively to a specific natural person. You may at any time request access to the personal data we hold about you, ask us to correct it, or ask us to delete it, by writing to info@eventigizer.com.

Please be aware that data transfer via the internet is subject to security risks and, therefore, complete protection against third-party access to transferred data cannot be ensured. Our website and apps may contain links or references to other websites to which this privacy statement does not apply. We encourage you to read the privacy policy of every website you visit.

The Website

Our website makes use of so-called cookies. Cookies are small text files that your internet browser downloads and stores on your computer. They are used to improve our website and services. In most cases these are session cookies that are deleted once you leave our website. You can prevent cookies from being installed by adjusting the settings on your browser software accordingly. You should be aware, however, that by doing so you may not be able to make full use of all the functions of our website.

We use Google Analytics on this website to understand how visitors use it, such as the time, place and frequency of visits. Your IP address is processed in anonymized form in these statistics, so you remain anonymous to us as a visitor. The usage statistics generated this way are processed for us by Google and are not used to identify you.

The website collects personally identifiable information where you submit it to us: on the contact and demo-request forms, and on online event registration forms. The information collected on registration forms may include name, institution, department, address, city, postal code, country, phone and e-mail. We may use contact information from these forms to send newsletters and event announcements related to the event you registered for. Credit card information is not stored on our system and is used only for billing purposes; our payment pages are protected by SSL encryption.

During a congress or exhibition, if an exhibitor company scans the barcode on your name badge, the organizer passes your registration contact details to that exhibitor company so it can follow up with you. By allowing your badge to be scanned you consent to this transfer.

The Event Mobile Apps

Eventigizer publishes a dedicated mobile app for each event. Each event app uses its own isolated data store: the data described here lives only in the data store of the event you attend, and no cross-event profile is built. Your account is created from your event registration; you sign in with your e-mail address and a passkey sent to you, and your sign-in credentials are stored securely on your device. App data is hosted for us by Google (Firebase / Google Cloud), which acts as our processor.

Depending on the features the event enables, the app stores: your profile (name, title, institution, country, e-mail address and an optional profile photo); your visibility and contact-information settings, which control whether other attendees can find you in the participant directory and see your contact details; one-to-one chat messages; posts, images, comments and likes you share on the event's community feed; questions you submit in session Q&A; your votes in live polls and word clouds; meeting requests, meeting slots and your availability; connection records created when you and another attendee scan each other's badges, and the people the app recommends you meet; users you block or report; session entry and exit scans, which the event organizer uses for attendance and credit certification; and, where the event runs gamification, your points, quiz answers and scan achievements. If you appear on a gamification leaderboard, your name and profile photo are shown to other attendees. Content you post on the community feed is reviewed at posting time by an automated moderation service (Google Gemini). Questions submitted anonymously in Q&A are shown to other attendees without your identity, but your identity is retained in a record accessible only to event administrators.

If you scan an exhibitor's stand code, or an exhibitor scans your badge in the app, your profile contact details are shared with that exhibitor as a lead. Other attendees see your profile only within the limits of your visibility settings. The event organizer has access to administrative surfaces of the event's data, including attendance records for certification. We never sell or rent your personal data to anyone.

The apps also collect device and service data: a device record (platform, app version, last activity) and a push-notification token so the app can deliver notifications; crash reports (Firebase Crashlytics) so we can fix defects; and app usage analytics (Firebase Analytics, in a property owned by Eventigizer) covering screens visited and feature interactions, associated with your event, language and country. You can turn usage analytics off at any time in the app's profile settings.

Account & Data Deletion

You can request deletion of your account and the data any Eventigizer event app holds about you. To do so, e-mail info@eventigizer.com from the e-mail address you registered with, naming the event app your request concerns. Requests are processed within 30 days.

On deletion we remove your account, your profile and profile photos, your uploaded images, your device and push-notification records, and the personal content stored under your account. Some data is retained in reduced form: messages and content you shared with other attendees may remain visible to them with your identity removed, connection and interaction records held by other attendees are anonymized rather than deleted, registration and billing records are kept where the law requires it, and we keep a minimal deletion record that does not identify you. Aggregated analytics that cannot be linked back to you are unaffected. Event data is otherwise retained only for the lifecycle of the event and the certification obligations that follow it.
